How we rank

The same four criteria, applied the same way, to every tool on every list. No vendor can buy a position.


What a Ten Stack ranking is

Each ranking answers one question: if you run a small business and need a tool in this category, which ten are worth your time, and in what order? We look at every serious option in the category, narrow to the ones that fit a small team’s budget and staffing, and rank the ten that remain. A ranking is a judgment, not a measurement. This page explains how we reach it.

The four criteria

1. Pricing

The real cost at small-team scale, not the headline price. We look at where features actually unlock, per-user and per-contact pricing traps, add-ons that most buyers end up needing, and the cost of implementation where it is significant. Free tiers count only if they are usable for real work.

2. Features

Depth where it matters for the category, and integrations with the tools small businesses already run. We give no credit for feature counts. A tool that does the core job exceptionally well outranks one with a longer list.

3. Ease of use

Setup time, learning curve, and how much of the product a non-specialist can run alone. Most small businesses do not have an admin for each tool. If a product needs one, that counts against it.

4. Return on investment

Evidence that the tool pays for itself within a year for a typical small business. Where we cite vendor figures we say so; vendor figures are a claim, not a finding.

How the criteria combine

We do not publish a numeric score. Scores imply a precision that does not exist when comparing, say, a free CRM against a $500-per-user enterprise platform. Instead, each entry states who the tool is best for, its key strengths, and its limitations, and the ordering reflects our judgment of value for the typical small business in that category. When two tools are close, the one that is cheaper to leave wins the tie.

Vendor pricing pages and documentation as of the date shown on each ranking, hands-on use of trials and free tiers where available, and published user reviews read for patterns rather than individual complaints. Prices are re-verified at each re-check.

Dates and re-checks

Every ranking shows the date it was first published and the date it was last re-checked. A re-check means we revisited pricing, tiers, and any major product changes, and adjusted the order if warranted. Software changes fast; a list that has not been re-checked in a year should be read with that in mind.

What money does not buy

No vendor can pay to be included, to be ranked higher, or to have a limitation removed. Some outbound links are affiliate links, which means we may earn a commission if you buy through them; they are added after the ranking is finished and do not influence it. Corrections

If a price, feature, or fact on a ranking is wrong, tell us through the contact page. We correct errors in place and note material changes at the bottom of the ranking.
